Evidence & Documentation Policy

Purpose
DriverProof exists to create reliable, timestamped documentation of commercial vehicle inspections. This policy explains how inspection records are created, stored, and preserved to maximize their evidentiary value while maintaining the integrity of the historical record.
DriverProof is designed to document inspections—not to alter, revise, or recreate them after the fact.
Inspection Record Creation
Each inspection submitted through DriverProof may include information such as:
Vehicle identification
Trailer identification
Tire pressure measurements
Tire tread depth measurements
Inspection photographs
Driver notes
GPS location
Date and time
Weather conditions (when available)
Driver account information
The information submitted becomes part of a permanent inspection record.
Permanent Record Integrity
To preserve the credibility of inspection records:
Submitted inspections cannot be edited.
Submitted inspections cannot be deleted by users.
Inspection photographs cannot be replaced.
Measurements cannot be modified after submission.
GPS information cannot be altered.
Timestamps cannot be changed.
If a mistake is made during an inspection, the proper remedy is to complete a new inspection that accurately reflects the vehicle's condition.
DriverProof intentionally preserves both records as part of the historical timeline.
Timestamping
Each inspection is electronically timestamped when submitted.
The timestamp represents when DriverProof received and processed the inspection data and serves as part of the permanent inspection history.
GPS Documentation
When location services are available and permission has been granted, DriverProof records the geographic location of the inspection.
Location information helps demonstrate where an inspection occurred and may assist users in documenting inspection activity.
If GPS data is unavailable because permissions are denied or the device cannot determine location, the inspection may still be completed.
Inspection Photographs
DriverProof is designed to document conditions as they exist during the inspection.
To support the authenticity of inspection records:
Photos are captured directly using the device camera.
Images cannot be selected from the device photo library.
Existing images cannot be uploaded as inspection evidence.
Photos become part of the permanent inspection record after submission.
This approach reduces the possibility of using outdated or previously edited photographs as inspection documentation.
Driver Notes
Drivers may include written notes during an inspection to document observations, defects, unusual conditions, or additional information.
Once submitted, notes become part of the permanent inspection record and cannot be edited.
Corrections
DriverProof does not permit modification of completed inspection records.
If an error is discovered after submission, users should complete a new inspection documenting the corrected information.
Maintaining both records preserves an accurate chronological history rather than replacing historical information.
PDF Inspection Reports
DriverProof may generate PDF reports containing inspection information submitted by the driver.
These reports are generated from the permanent inspection record and are intended for documentation and recordkeeping purposes.
PDF reports accurately reflect the information available at the time the inspection was submitted.
Historical Preservation
Inspection records are maintained according to DriverProof's Data Retention Policy.
Historical inspections remain part of the inspection history even if newer inspections are completed for the same vehicle.
DriverProof is designed to preserve the chronological progression of inspections rather than maintain only the most recent inspection.
User Responsibility
Users are responsible for:
Performing inspections honestly.
Recording accurate measurements.
Capturing photographs that accurately represent vehicle conditions.
Reviewing information before submission.
Completing a new inspection if corrections are necessary.
DriverProof cannot verify that measurements entered by users are accurate.
Intended Use
DriverProof provides documentation tools to assist drivers, owner-operators, and fleets in recording inspections.
Inspection records may be useful for maintenance tracking, operational documentation, insurance matters, internal company records, regulatory discussions, or legal proceedings where permitted by applicable law.
DriverProof does not guarantee that any inspection record will be accepted as evidence by any court, government agency, insurance company, employer, or other third party. The admissibility and evidentiary weight of any record are determined solely by the applicable authority under the relevant laws and rules of evidence.
Policy Updates
This Evidence & Documentation Policy may be updated periodically to reflect changes in DriverProof services, applicable law, or operational practices. Continued use of DriverProof after updates constitutes acceptance of the revised policy.
